Pen to Paper considers your privacy very important. I will process and use your data in a secure way, in accordance with the General Data Protection Regulation. In this privacy statement I explain to you what data I collect from you and why I do this. You can also read in this statement what your rights are with regard to this processing. For questions about your privacy please contact naomi@pentopaper.nl. When I process your data outside the EU I will ensure appropriate (security) measures.

Pen to Paper has a commercial interest to use some of your personal data for marketing purposes. I process your name, email and social media account for direct marketing and social media marketing. I will delete this data once you unsubscribe from my newsletter or indicate that you no longer wish to be contacted by me.

To enable and optimize this website, I use analytics services. I have a commercial interest in using your browsing behavior and related data to analyze and, where necessary, improve my service. I will track your use of my website with Simple Analytics.

This service uses cookies. Cookies are small pieces of information that are sent to your browser when you visit my website and then stored on the hard drive or in the memory of the device you use to visit my website. These cookies will not damage your devices.

I have chosen from a Dutch party that is fully GDPR compliant. Simple Analytics does not process any personal data about you as a visitor to my website and will not place any tracking cookies.

In addition, Facebook collects target group statistics through a cookie. This data allows me to place more targeted ads. These cookies are active for two years. However, the data collected by Facebook using this cookie is transmitted to me anonymously. I do not use a Facebook Pixel for the purpose of retargeting.

To enable the posting of reviews about my services, I process the content of your message with, if desired, your name and company name. And when you want to contact me through the website, I ask for your name, email and any relevant additional information. When you post your message or submit the contact form, this information automatically becomes visible to me. I delete the data from a sent contact form as soon as the contact request is completed, unless an agreement results from this.

I process your name, username and message content when you comment on my articles or posts. This information is automatically displayed and stored until you delete your comment or I delete my post.

You can also follow my courses and workshops. When you sign up for these courses and workshops I process your name, e-mail and payment information. I only use this information to enroll you. I delete this data for free courses and workshops immediately after the course or workshop and for paid events up to 7 years for the tax authorities.

Pen to Paper is a sole proprietorship, located in (3078 SB) Rotterdam at Backershagen 286. I am registered in the trade register of the Chamber of Commerce under number 67859070. I am the processor of your personal data.

The General Data Protection Regulation has given you a number of rights regarding the personal data you have allowed me to process.

1. Inspection - You can at any time make a request to Pen to Paper to inspect your data.

2. Amendment - If you want to have your data amended, corrected, supplemented, blocked or deleted, you can submit a request to that effect. You can also change some data yourself in your personal account.

3. Objection - You may object to the processing of your data.

4. Data transfer - Should you wish to transfer your data to another provider, I will provide your data in a structured and common form that can be accessed by common digital systems.

5. Withdrawal - If I have processed data based on your explicit consent, you have the right to withdraw this consent. This may affect the services I can provide to you.

To exercise your rights, please send a request to naomi@pentopaper.nl. I will review your request as soon as possible. If I cannot fulfill your request, I will let you know why I am denying your request.

Article 2 – What data do I use?

Here you can find an overview of the data I process, why I do this, what legal basis I have for processing this data and how long I will store this data.

I process your name, address, place of residence, e-mail, possibly your phone number and other data necessary to provide my services to you in the best possible way in order to execute the agreement. You can think of the names and address details that need to be calligraphed, your wedding date and location and other data you have filled in on the questionnaires I work with. From the answers to these questionnaires I may derive special data about you. I use this information to make you a satisfied customer for the duration of our agreement. I keep this data for 2 years after completion of the agreement.

To manage your order, I will keep your name, shipping address, billing address, email, phone number, purchase history and payment information in my customer database for up to 7 years. I do this for the purpose of performance and possible amendment of the agreement.

I use a portfolio on my website and social media channels to showcase previous work to potential clients. I include the concepts that I have worked out for you with your name if you have given permission to do so when entering into the agreement. I keep this material in my archive indefinitely, until you request its removal.

I find it important to maintain a good relationship with you as a client. For my CRM system I therefore store your name, username, email, order history, quotes, drafts and related correspondence. After deposit, you get access to this personal account. I will keep this data for up to 2 years after completion of the order.

For billing and financial administration I process your name or that of your contact person, any company name, billing address, Chamber of Commerce number, phone number and e-mail. Without these data I cannot process your payment. I therefore need this data for the execution of the agreement. According to a legal obligation from the tax authorities I have to keep this data for 7 years.

In the unlikely event that you have a complaint about my services, I will process your name, e-mail, order number and the content of this complaint to come to the best possible solution for you. I will use this data for an optimal execution of the agreement. I will keep data relating to complaints for up to 3 years after settlement.

Article 5 – Who will receive your data?

Pen to Paper will not provide your data to third parties, unless this is necessary for the conduct of business or required by law. Your data may be passed on to processors, parties involved in the execution of our agreement and external advisors for the execution of the agreement. I conclude processing agreements with these third parties to optimally protect your privacy. I will not sell your data to third parties.

Article 6 – Final provisions

I encourage you to consult this privacy statement regularly, as I may make changes to the policy. If you have a complaint about the way I handle your data you can also let me know. In addition, you can contact the Personal Data Authority.

Article 3 – How do I obtain this data?

The above information is obtained from you as a client or contact person, because you have given me this information. It is also possible that I have obtained your data through one of my clients when your name and address appear on an envelope or name card made by me. In the latter case, I keep your data for one month for possible changes or envelopes that have not arrived.
